Documentation Center and its needs -
- Almost all the country is investing lots in research and development. Also many students are going for higher studies. And due to knowledge explosion every researchers wants himself to update from current happenings around the world (of course in their research field)
- People every where realized the need of disseminating latest scientific information to research workers in every field and to integrate and consolidate the collective knowledge for the benefit of all
- UNESCO gas taken up the programme of developing public libraries and documentation centers in different countries of the world.
Functions of Documentation Center -
- The main function of such a documentation center is to procure publications and to process, preserve, summerise, abstract and index them.
- It has to prepare bulletins relating to such materials for the distribution among those interested in them, to prepare bibliographies on specific topics, to translate articles and documents, to publish documentation lists and even to prepare and supply microfilms to photocopies of the documents for the convenience of research workers.
Types of Documentation Center -
We can group documentation center into three broad criteria, namely
- By ownership
- by Specilised interest
- levels
I - By type of management -
1. Central body - established by central government of by central bodies e.g. - INSODC
2. Science Agency - established by science agency e.g. - ICAR, ICMR, CSIR etc
3. Central government departments - established by government research departments and laboratories e.g. - Geological, Botanical, Zoological and Anthropological survey of India.
4. State Government Departments - established by state government department e.g. - Agriculture, Forestry, Public Health and Transport etc
5. Semi-public documentation center - established by learned or professioal societies or trade association. e.g. - Indian Institute of Science
6. Industrial and Commercial Agency - established by Industrial and Commercial Agencies e.g. - BHEL, HMT etc
7. Private Documentation Center - established by private business enterprises and commercial firms. e.g. - International Scientific Institution, Philadelphia
II - By Specialized Interests
1. Subject Field - Specializing in a specific chosen discipline like medicine, defense, agriculture etc also popularly known as Discipline oriented documentation centers e.g. - BARC, NISSAT etc
2. Mission / Objective - These documentation centres are governed by a chosen objectives or mission such as promotion of peace, social development etc. e.g. International Nuclear Information System (INIS)
3. Type of Material - These documentation centres are devoted to a particular type of material such as patents, standards, trade literature etc e.g. - Indian Standard institution
4. Type of information - Centres handling specific kind of information like R&D information, industrial information, statistical information and official information etc e.g. - National Technical Information Services (NTIS)
III - By different levels
1. International - established by international organization and even regional or national agencies but offering documentation services at international level
e.g. - Chemical Abstract services (CAS), International Federation of Documentation (FID) etc
2. National - established to meet information requirements of the country. e.g. - British Library
3. Regional level - established in the regions within the country to serve the information needs of the regional within its geographical jurisdiction. e\.g. - Regional centers of INSDOC
4. Local - established and attached to an individual orgainsation for meeting its parent body's information needs. e.g. - local information units in NISSAT network
Functions of National Documentation Centre -
National documentation center has reponsiblity to discharge knowledge form international level to national, regional and local level
Main functions of national documentation centers are -
- Formulation of National information policy and plan of action
- establish mechanism for the implementation of policy and plans
- Allocation of resource
- promotion and evaluation of performance
- development of the resources
- To act as the focal point of the Nations documentation activities by coordination
- To draw the attentions of the specialist users to the current and recent literature relevant to them
- To ensure the users a copy of worthwhile document in the related subject published either within the country or elsewhere
- To provide documentation services both on demand and in anticipation
- To act as national agency of interaction with other world information systems and services
