How to Set Up Library in School / College / in offices

Step -1 Choose Library Location

Library must be at the center place of the organization or school or college and it should be reachable for everyone. Proper lighting and ventilation should be there. Check no direct sun rays comes to the library. Room must be sound proof so that external sound does not disturb or ditract the users sitting in a library.

Step – 2 Library Accessories

Table and chair, Shelves, display racks, periodical rack, Newspaper display shelves etc 

For corporate library Sofa, Beans bag, Arm chair and Round designer table is the best. Because the corporate person does not came to library for serious studies. They just come to relax for few minute.

Computer-
Number of computer depends on the number of library staff and other facility given by the office.

Note – Librarian has to keep vigil on the users, library staff and also at the gate (the person coming in /out of the library). So his/her desk should be placed accordingly.
      Assistant library must seat nearby to the gate. So that he/she can watch the person coming in/ out of the library.

Step -3 Acquisition –

Purchase of books, magazines, vcd, e-resource etc. For this first company has to decide the budget for the library. Then a librarian should workout to select the book. keeping in mind the Rnaganathan laws.

Books are purchased according to users’ interest.
    Generally a library must have titles on the these subjects computer, management, Fiction, General Knowledge, Biography, finance, Economics, Personal Effectiveness, etc.

VCD and e- resources depend on the company to purchase or not.

Step – 4 Book Preparation –

These steps must be done by library professionals –

Accessioning of Books - Means giving a particular number of each book. It must be done by entering the record in accession register (Accession register is available in the market).
                   This record helps to know the total collection of the library and also helps in future, during stock verification.

Classification of Books – Classification means giving unique no. which is pre defined in different method (DDC, CC, UDC etc). Classification helps in arranging books according to subject in the shelves.

Accession No.
 
Tagging – Tag means pasting a sticker with DDC No., Book No. and Accession No.                                             It should be pasted at the book spine. 

Stamping – It should done on the first page, Title page and on Secret page.

Shelving – Shelve the books according to DDC number.

Step – 5 Circulation (Issue/ Return)

If the company/ Institute have Library Software then it should be done according to the software.

Manual Method of Circulation

Issue each user Three or four cards. Users will bring the cards whenever they want to borrow books from library.

Date of Return depends on the number of books on the library. If the number of book is less then it should be issued for seven days and if it is more then it should be issued for fifteen days.

Fine should be deducted directly from the salary. It should be 2rs per day or depends on the librarian.

If the book is lost or torned then user have to pay the cost of the book and fine.


Every resigned employee should get or must get no dues before full and final settlement.
